Day Rent from Work Orders

Daily Rental from Work Orders offers an easy way to bill customers for the number of days they had the container at their site.

 

Set Up

The first thing you need to do is create your daily rental charge code.

There are 3 key fields in the Charge Code Master that relate to Day Rentl from the Work Orders.

  1. Free Days:  Free Days are the number of days the customer has the container in which you do not want to charge rental.  If you leave this field blank, then the customer will be billed for every day they have the container.  In this example we are giving each customer 7 free days before they start getting charged for daily rental.

  2. Day Charge:  What is the daily rental charge that you want to assess to the customer when they have exceeded their number of free days?

  3. G/L Code: What general ledger code do you want the Day Charge to post to when Day Rent is billed?

 

Work Orders

Once your charge code is set up with the Day Rent information, you can begin to use it in work orders.

The Line date, not the action date, is used to determine the Start Date for when Day Rent is to begin being calculated.  The To Date is the End Date for Day Rent to be calculated.

 

In this example, we are charging rent From  5/2/13  To 5/16/13 for a total of 14 days at $20.00 per day.  Since our Charge Code master is set up to give 7 free days, the system will only bill for the remaining 7 days the customer had the container on site.

 

When you select the option to 'Post Work Orders/Create Invoices', the process will automatically bill for the 7 Days of Day Rent.

It will be billed as Demurrage and show the # of Days in the description of service as well as the Qty field.
